Grant Administration and Financial Management

CHRT’s Finance and Operations team provides experienced, hands-on grant administration support to nonprofit and community-based organizations navigating the financial and compliance requirements of public and philanthropic funding. Drawing on nearly two decades of managing complex, multi-funder grant portfolios, CHRT annually oversees more than $10 million in grants and contracts, including Medicaid-matched awards with over $6 million in pass-through funding to communities across the state via CHRT-managed subcontracts and subrecipient agreements. CHRT helps organizations stay focused on their mission while meeting the demands of their funders.

Who we serve

Many mission-driven organizations have the programmatic expertise to win competitive grants. Once the awards are received, however, these organizations are often challenged by the financial, reporting, and compliance burdens that must be managed in conjunction with getting new programming up and running. CHRT offers flexible, right-sized support for organizations in this position, from community nonprofits receiving their first federal award to established health and social service organizations taking on more complex funding arrangements.

What we offer

CHRT supports grantee organizations across the full financial lifecycle of a grant or contract, including:

  • Financial Setup and Reporting. We establish grant-aligned budget tracking structures within your accounting system, maintain project accounting records in accordance with applicable federal, state, and funder requirements, and prepare regular financial reports showing budget versus actual expenditures by cost category and funding source.
  • Budget Monitoring and Revisions. We monitor spending trends, flag potential over- or under-spending, and provide recommendations for budget adjustments consistent with grant guidelines. When needed, we prepare budget modification requests and supporting documentation for submission to funders.
  • Invoicing and Reimbursement. We process invoices and reimbursement requests, review supporting documentation for completeness and allowability, and prepare submission packages for funder reimbursement portals according to funder requirements and agreed timelines.
  • Compliance Support. We maintain documentation necessary to support financial audits or monitoring visits, advise on financial compliance considerations, and help organizations respond to financial or compliance inquiries from funders. We recognize that grantee organizations retain ultimate responsibility for grant performance and programmatic compliance.

Our approach

CHRT functions as a trusted partner and extension of your team. We work collaboratively with your leadership and program staff, provide transparent and timely communication about budget status and potential concerns, and tailor our level of engagement to your organization’s needs and the complexity of the award. We can offer ongoing support or assist you in establishing systems and processes that can then be taken over by your own staff.
